Read the group dashboard

The group dashboard puts every member organisation side by side and adds them up. It then takes out what the organisations sold to each other and owe each other, so the group total shows only business with the outside world.

Before you start

  • You need a role in the group: group owner, accountant or viewer (see create a group).
  • If a member works in another currency, the group owner sets its exchange rate first (step 1 below).

Steps

  1. Group owner, once: open Group → Groups, select Members and settings, and under Rates and budgets type each foreign-currency member's Rate to the group's currency. Optional: type each member's Monthly sales budget. Select Save.
  2. Open Group → Groups and select Open on your group.
  3. Stay on the Dashboard tab.
  4. Pick the period: Today, Yesterday, This week, This month, Last month or Custom (then the dates).
  5. Read one row per organisation, in its own currency and in the group's: Sales (without VAT), Sales with VAT, Profit, Margin, Stock at cost, Customers owe and Owed to suppliers.
  6. Read the three lines at the bottom: all members added together, the amounts between your organisations, and The group, which is the first less the second.
  7. Read the notes under the table, if any (see "Good to know").
  8. To keep a copy, select Download CSV, Download Excel or Print / save as PDF.

Mark the business between your organisations (group owner or accountant)

  1. In Members and settings, go to the card on customers and suppliers that are group members.
  2. Pick a customer or supplier of your organisation, and the member organisation it is.
  3. Select Mark. To undo, select Unmark.

Good to know

  • Each row is that organisation's own figures, the same as its own reports show. Profit is sales without VAT less cost.
  • What is taken out. Stock transfers between members (see transfer stock), sales to a customer marked as a member, deliveries from a supplier marked as a member, and the balances between them. Cash and VAT are never taken out: each organisation files its own VAT return.
  • Unrealised margin. When goods moved between members are still in the buyer's stock, the seller's margin on them is not counted as group profit yet. It counts when they are sold to outside customers.
  • One side not recorded. If the sales one member recorded to another differ from the purchases the other recorded, a note shows the difference.
  • Not counted. A member in another currency without a rate, or one that could not be read at that moment, is listed in a note and left out of the totals.
  • Exchange rates are typed by hand. Kluvan does not fetch rates; update them yourself when they change.
  • Large groups. The dashboard reads every member's products and stock each time; with many members and large catalogues it can take a little while to open.
