Send products, prices or suppliers to a member

Members of a group often sell the same products and buy from the same suppliers. Instead of typing them again, the group owner can send them from their organisation to another member. Nothing is written until you have seen and ticked every line.

Before you start

  • You need the Group owner role.
  • The receiving organisation's owner must allow it: in Members and settings, in the section on what their organisation allows, they tick receiving the group's product list, prices or suppliers. Each kind is a separate choice.

Steps

  1. Open Group → Groups, select Open on your group, then Transfers and shared data.
  2. Go to the card for sending a product list, prices or suppliers.
  3. Choose what to send: Products, Prices or Suppliers.
  4. Choose the member to send to.
  5. Select Preview. A table lists each record that would be added (New) or changed (Change), and for each change the field, its old value and its new value.
  6. Untick any line you do not want to send.
  7. Select Apply the ticked lines. A message tells you how many records were added and changed.

Good to know

  • Nothing silent. Every addition and change is shown before it is written, and only ticked lines are applied.
  • If something changed in between, for example someone edited a product after your preview, the apply is refused. Select Preview again and check the new lines.
  • The other organisation keeps its own names and barcodes. Products are matched by barcode or name; a product it already has keeps its own name and barcode, and only the other fields change.
  • No guessing. If a name matches two records in the other organisation, that line is skipped. Product variants are not sent.
  • Nothing to send means the other organisation already has the same records and values.
  • Before a stock transfer, send the products the other organisation lacks; a transfer is refused when the buyer does not have a product (see transfer stock).
  • The receiving owner stays in control. They can untick the choice at any time, and nothing more can be sent to them until they tick it again.
  • Every change is written to the audit log of the organisation that receives it.
