Create a group and invite organisations

A group links organisations that each have their own Kluvan account, so you can see them together. Nothing of an organisation is shared until its own owner approves, and each owner can leave at any time.

Before you start

  • Creating a group comes with the Group app (see plans and bundles). Any organisation can join a group it is invited to.
  • Only the owner of an organisation can create a group or approve an invitation.

Steps

Create the group

  1. Open Group → Groups.
  2. Under Create a group, type the Group name.
  3. Select Create the group. Your organisation is its first member, and you are the Group owner.

Invite the other organisations

  1. On your group's row, select Members and settings.
  2. In the invite card, type the e-mail address the other organisation's owner signs in with.
  3. Select Send the invitation. It is listed under Waiting for an answer until they reply; select Cancel to withdraw it.

Approve an invitation (the other owner)

  1. The invited owner gets an e-mail, and sees the invitation at the top of Group → Groups.
  2. They tick what else they allow, for example stock transfers, or receiving the group's product list, prices or suppliers (always with a preview first).
  3. They select Approve and join, or Decline.

Name viewers and accountants

  1. In Members and settings, go to People and roles.
  2. Type the E-mail of a person who works in one of the group's organisations.
  3. Pick the Role: Viewer (sees the dashboard) or Accountant (also the statements, VAT, closing and transfers). Pick No role to remove someone.
  4. Select Save.

Good to know

  • Consent comes first. Before the invited owner approves, nothing of their organisation is read. The answer you get after inviting is the same whether or not the address has an account.
  • Each member decides for itself. A member's owner changes their choices at any time in Members and settings (the section on what their organisation allows), or selects Leave the group. The group stops reading their figures at once; their own data stays as it is.
  • The group owner can select Remove from the group for a member, or Dissolve the group to stop the group view for everyone. Nothing is deleted in any organisation.
  • Limits. At most 20 organisations in a group, 20 invitations a day, and 5 active groups per organisation. An invitation expires after 14 days.
  • Who can open a group. People signed in to an organisation that is an active member, with a role in the group. Users limited to one branch cannot open group pages.
  • Different currencies are allowed; set a rate for each so it counts in the totals (see the group dashboard).
