Manage tasks on the project board
Tasks are the pieces of work inside a project. The board shows every task in four columns, To do, Doing, Review and Done, so the team and the manager see what is moving.
Before you start
- To add tasks you need the right Create and change projects, costs and invoices.
- Anyone assigned to a task can move it and tick its checklist, even without that right.
Steps
- Open the project from the Projects list and go to Tasks.
- Open New task.
- Type the Task title and choose its Phase.
- Choose who it is Assigned to, the Due date and the Estimate (hours).
- Under Checklist (one item per line), type the steps, one per line.
- Select Add. The task appears in the To do column.
- Open Projects → Board to see the columns. Choose one project, or All projects, and tick Only mine to see only your tasks.
- Select a task to open it above the board.
- Select the button of the column it should move to, for example Doing or Review.
- Tick checklist items as they are done.
- Type a Comment and select Add to leave a note for the team.

Good to know
- Tasks move with buttons, not by dragging. There is no Gantt chart, no task dependencies and no recurring tasks.
- The project page lists every task with its phase, assignee, due date, column and how many checklist items are ticked.
- Estimates matter for progress invoices: the share of estimated hours on tasks marked Done is offered as the suggested % complete. A task without an estimate counts as one hour. See Invoice a project.
- Team members without the right to see project figures see their own tasks and projects only, without contract values or costs.
- Time is recorded against a task from the time page: see Record time and approve timesheets.
