Sign offer letters through a signing provider
Early access
This feature is in early access: it is built and tested, but not yet switched on for every organisation or not yet tried with the outside provider. Ask us on WhatsApp if you would like to try it.
By default a candidate accepts an offer by typing their name. When your organisation has a signing provider connected in Contracts, Recruitment can send offer letters through it too, and keeps the signed letter and the provider's signing record on the candidate's page.
Before you start
- You need Recruitment settings, retention and erasure to choose the provider, and See salary bands and offers to send offers.
- A signing provider must be connected for your organisation. No provider is connected by default; this is why the feature is in early access.
Steps
- Open Recruitment → Recruitment settings.
- Under Careers page, privacy and retention, pick the provider in Offer letters signed through. The first choice, A typed name on the offer page (no signing provider), keeps the typed-name acceptance.
- Select Save.
- Draft and send an offer as usual. See Send an offer letter.
- After Send the offer, the page says The signing provider also sent the candidate a request to sign. Copy the private link as usual.

Good to know
- The candidate chooses. The offer page shows Sign with the signing provider above the typed-name box; they can still accept with their typed name or decline.
- What is kept. When the provider confirms the signature, the Signed offer letter and the Signing record appear under Files on the candidate's page, stored once.
- Only confirmed answers count. A signing answer that does not come from the provider is refused, and each answer is applied once.
- Withdrawing the offer stops the link; draft and send again to start a new signing request.
- The provider is the same one Contracts uses; Recruitment adds no setup of its own.
