Arrange fields per role

A layout decides how a record's custom fields look for each role: which sections they sit in, in what order, and what is hidden. A technician on the phone can see three fields that matter on site while the office sees all twelve.

Before you start

  • You need the right Manage Studio (fields, layouts, statuses, rules, templates).
  • Publish some custom fields first: see Add a custom field.

Steps

  1. Open Studio → Fields, pick the record, and select Layouts per role.
  2. Choose the role tab: Everyone, Manager, Team member, Field staff (phone) or Self-service.
  3. Under Sections, name up to four sections in English and Arabic, for example "Site" and "Warranty".
  4. In the Fields table, choose each field's Section, or More, or Hidden for this role, and type its Order.
  5. Under Standard fields, tick Hide … for the optional standard fields this role does not need.
  6. Select Save draft.
  7. Select Preview to see the record as that role, with the list of hidden standard fields.
  8. Select Publish in the bar at the top.

Good to know

  • Which layout applies. A person's seat comes first (field or self-service), then their role, then Everyone. The owner always sees and can edit every field.
  • What can never be hidden. Required fields, fields an approval rule reads, and standard fields marked with a lock (required by law or by a workflow, such as a customer's name and tax number) always show.
  • Fields not placed in a section show under More.
  • Hiding a field in a layout only changes what the role sees on the page. To stop a role from seeing a value at all, untick the role under Who sees it on the field itself.
  • Roles are the owner, managers, team members, field staff and self-service seats. Custom roles are not available in Studio.
  • Hidden standard fields are hidden in the record side panel; app pages with their own forms keep showing their standard fields.
  • Related: Publish a change or go back to a version.
