Set an approval limit and test it

An approval limit stops an action above a threshold until the right person approves it: a discount above 10 %, a quote above a certain total, a purchase order above an amount, a write-off. Kluvan checks the limit inside the app's own action, so it cannot be bypassed from another screen.

Before you start

  • You need the right Manage Studio (fields, layouts, statuses, rules, templates).
  • Approvals are part of every plan: requests run through the shared approvals engine and wait in the approvals inbox, whether or not your plan has the Workflows app.

Steps

  1. Open Studio → Approval limits and select New approval limit.
  2. Under What to watch, choose Discount, Quote total, Purchase total or Write-off.
  3. Type the Label in English (and Arabic if you want) and select Continue.
  4. Under Needs approval when, keep the percentage is above or the amount is above and type the limit. Some kinds also offer a custom field has a value, with the Custom field, the Comparison and the Value.
  5. Under Who approves, choose A role (manager or owner), A named person or The requester's manager.
  6. Set the Deadline (hours) and If late, pass to: The owner, The next approver, Nobody or A named person.
  7. Tick Two different people must approve if you need two approvals.
  8. Keep Rule on ticked and select Save draft.
  9. Under Test this rule, type a sample amount (or percentage) and select Test. Kluvan answers This would wait for approval. or This would go through without approval.
  10. Select Publish in the bar at the top.

Where each limit is checked

LimitChecked when
DiscountA quote is sent or an invoice issued in Books with a discount above the limit
Quote totalA quote above the limit is sent
Purchase totalA purchase order above the limit is created
Write-offCollections writes off a customer's debt above the limit

Good to know

  • The person who asks can never approve their own request. Until it is approved, the action answers studio_apv_needed and the request waits in the approvals inbox.
  • The requester's manager is found through HR's manager link; without one, any manager can approve.
  • Studio is the only place to set discount, quote and purchase limits; the matching Workflows templates are read-only and point here.
  • Credit-limit override and Expense claim can be chosen and saved, but their apps do not check them. Purchase requests are not checked either: the purchase-total limit applies to purchase orders.
  • Up to 50 rules.
  • Related: Publish a change or go back to a version.
