Allowances: storage and AI credits

Besides apps and seats, each plan comes with allowances: amounts a month or in total that your organisation can use. You see them for every plan on Plan & usage → Change plan.

File storage

The pictures you upload (products, your logo and other public pictures) are stored in your organisation's space. Pictures are shrunk and stored once, even when you use the same one on several products.

• An app on its own includes 5 GB, a bundle 20 GB and Kluvan One 50 GB.
• When the space is full, Kluvan refuses new pictures with the message Your plan's picture space is full. The record itself is still saved. Remove pictures you no longer use, or move to a plan with more space.

Private files, such as the documents attached in Books or the scans in HR, are kept encrypted in their own store. See Your data.

AI credits

Every AI feature in Kluvan spends from one balance of AI credits: the AI workbench, Ask AI (free questions about your business), the invoice reader and AI bills (they read a supplier invoice, a price list or a receipt from a photo), the daily brief, voice transcription and the Front Desk (answers your customers on WhatsApp, e-mail and your website's chat). One AI credit is worth US$0.01.

• Included credits. A trial includes 100 credits for the whole trial; credits you buy are yours on top. The free HR Starter and Books Starter plans include 150 credits once. Paid plans include credits for each paid period: 300 with Sales & Customer Care, Service Business, Trade Business or the Inbox app on its own, 1,000 with Kluvan One, none with any other app on its own.
• Monthly AI allowance. Paid plans also get a monthly allowance that grows with the subscription, about 3 % of the net monthly price. The plans list it.
• Spending. The Front Desk spends 15 credits per conversation block (up to 8 replies to one conversation within 24 hours) and 8 credits a minute on a live call. Every other AI feature spends its model cost, rounded up to whole credits.
• Order of use. The monthly allowance first, then the period's credits, then the credits you bought, which never expire.

Ask AI and the invoice reader are in early access and have a daily limit per plan; when it is reached, the feature says so and works again the next day.

Good to know

• The Change plan page also has a row for e-signature envelopes. Kluvan has no e-signature feature today, so it does not apply.
