AI credits

Every AI feature in Kluvan is paid from one balance of AI credits: the AI workbench, Ask AI, the invoice reader and AI bills, the daily brief, voice transcription and the Front Desk. Your plan includes some credits, you can top up more, and you decide whether Kluvan may charge or top up automatically. Everything is on one page, Billing → AI credits (/billing/credits): the included credits, the credits you bought, top-ups, limits and one usage ledger.

Settings → AI keeps the data-sharing consent, the choice of provider (your own Anthropic or OpenAI key) and the MCP keys. It no longer sells credits; it links to Billing → AI credits. AI stays off until the owner switches it on and accepts the consent: see AI access and consent.

What a credit is worth

  • 1 AI credit = US$0.01, whichever feature spends it: the Front Desk, Ask AI, the invoice reader or any other.
  • Top-ups come in packs of 1,000, 5,000 and 10,000 credits. 1,000 credits cost US$10, AED 39, SAR 39 or EGP 249, with VAT added where it applies.
  • Bought credits never expire.

How each use is counted

  • Front Desk messages are counted in conversation blocks: one block costs 15 credits for up to 8 replies to one conversation within 24 hours. The ninth reply, or a reply after 24 hours, opens a new block.
  • A live Front Desk call costs 8 credits a minute.
  • Every other AI feature costs its model cost in credits, rounded up to whole credits. The credits are held before the use runs, and the part not used goes back when it finishes.

For the Front Desk:

  • A greeting, or a customer asking for a person, is answered without opening a block.
  • Reading a picture or a voice note in a conversation costs no extra credits: it belongs to the reply.
  • A block whose only reply could not be delivered is given back.
  • Your team's own replies never cost credits.

Included credits

PlanIncluded AI credits
Every trial100 for the whole trial
HR Starter and Books Starter (free)150, once
Sales & Customer Care, Service Business, Trade Business300 each paid period
Kluvan One1,000 each paid period
Inbox app on its own300 each paid period
Any other app on its own0

Paid plans also get a monthly AI allowance that grows with the subscription: about 3 % of the net monthly price, at least 125 credits for a single app, 250 for a bundle and 450 for Kluvan One, at most 500, 1,200 and 2,500 credits, and never more than 10 % of the net price. The page shows your own figure.

Included credits come with each paid period. While a renewal is unpaid, no new credits come. They are shared by every AI feature, from Ask AI to the Front Desk.

Steps: top up your credits

  1. Open Billing and select AI credits, top-ups and limits (or open Billing → AI credits with Ctrl+K).
  2. Under Prepaid balance → Top up, pick a package: 1000 credits, 5000 credits or 10000 credits. Each shows its price, with VAT added where it applies.
  3. Pay by card. Back on the page you see "Thank you - the credits appear as soon as the payment is confirmed."
  4. The credits appear under Available once the payment is confirmed. The top-up is listed under Top-ups.

Bought credits serve the Front Desk, Ask AI, the invoice reader and every other AI feature alike.

Limits and automatic charges

  1. Under Limits, tick Allow automatic charges after the included and prepaid credits only if you want Kluvan to charge beyond your balance. It is off by default, and switching it on needs a Monthly limit.
  2. If you like, also type a Daily limit (optional).
  3. An automatic top-up happens only with your explicit consent: tick Top up automatically, type When the balance falls below, pick the Package, and tick I allow automatic top-ups on the card saved in billing.
  4. Select Save the limits.

Your own provider key

When the owner chooses your own Anthropic or OpenAI key in Settings → AI, the AI requests made with it, for example by Ask AI, use no Kluvan credits: the provider bills you directly.

Good to know

  • Order of use. Included credits are used first (the monthly AI allowance, then the period's credits), then the credits you bought. Bought credits are always spendable, whether automatic charges are on or off.
  • When credits run out, a new AI request is stopped before it reaches the provider, and the Front Desk stops answering new customers and passes their messages to your team. Nothing is lost. When the balance runs low, managers get a notice in the bell, and the Front desk exceptions page shows an AI credits section.
  • Tax invoices. Every paid top-up gets its own tax invoice, listed with your subscription invoices (see pay and invoices); a refunded top-up gets a credit note. Top-up invoices are not e-mailed yet.
  • Only the owner can top up and change the limits. Managers can see the page.
  • A disputed card payment for credits pauses spending until the dispute is settled: "Spending is paused while a payment dispute is open."
  • Usage this month is one ledger for every AI feature. For the Front Desk it lists each block (Conversation block), picture (Picture read) and voice note (Voice note), each row with Included or Prepaid and its state (Charged, Estimated, Given back, Corrected).
  • Day limits stay. Besides the credits, the Front Desk keeps its daily answer limit from Front desk settings → Limits and keeping, and a limit per customer per hour.
  • Errors: fd_credit_exhausted, fd_spend_cap, fd_topup_pending, fd_account_frozen.
