Assign, snooze or dismiss an attention item

Each item in Needs attention opens in a side panel with its consequence, its calculation and the actions you may take. Every action is recorded in the item's history with your name.

Before you start

  • You see an action only when you may take it: for example Approve only on an approval waiting at a step you may decide.

Steps

  1. In Owner workspace → Needs attention, select an item's title. The side panel opens.
  2. Read If it is ignored:, for example "the customer has waited 6 h" or "expires on 30 Oct, in 9 days".
  3. Open How is this calculated? to see the rule in plain words, the Input table (each Value and Where from, with its filter) and See the records.
  4. Choose one action:
    • Approve: type a Note if you like and select Approve. The decision goes through the approvals as if made on the request itself.
    • Assign: pick the person in Give to and select Assign. The item moves to their list and they are told.
    • Snooze: pick Bring back in (1, 3, 7, 14 or 30 days), type Why (required) and select Snooze.
    • Dismiss: type the reason in Why dismiss it? (required) and select Dismiss.
    • Done: select Done when the work is finished.
  5. A message confirms the action, for example Given. It is on their list now, and you can still follow it here.

Good to know

  • Assigned items stay on the organisation's list, so the owner follows them to closure.
  • A snoozed item comes back by itself at 08:00 on the chosen day, in your organisation's time zone.
  • A dismissed item stays dismissed while its condition holds. If the condition ends and later starts again, it opens again as a new item.
  • Done is not offered for an item the records decide (an overdue invoice, an expiring paper): it closes by itself when the records change. Fix the record instead, using Open.
  • The history under the item lists who raised, gave, snoozed, dismissed or closed it, and when.
  • A reason is required to snooze or dismiss; without one the action is refused. See the error guide.
