Who sees which items and amounts
Everyone in your organisation can open the Owner workspace, but each person sees only what concerns them, and money only when they are allowed to see money. This page explains the rules, so you know what your team sees.
Before you start
- Roles and rights are set in your team settings (see roles and rights and invite your team).
Steps
Check what a person sees
- Find the person's role: owner, manager or team member.
- The owner and managers see the organisation: every item from every app they may open. They can switch to Mine at the top to see only the items given to them.
- A team member sees their own scope: the items given to them, and the items addressed to their role or to a right they hold. For example, someone with Collections: see every collector's cases sees the collection items; someone with See every team's conversations sees the Inbox conversations nobody took.
- Check whether the person may see money (below).
Check who sees amounts
- The owner always sees amounts.
- Anyone else sees amounts only with the Books right View Books and reports or the right Collections: see amounts.
- Without one of these rights, the list, the key figures and Today show counts and words, never amounts, for example "3 invoices overdue" instead of the sum.

Good to know
- Giving an item to someone adds it to their list and keeps it on the organisation's list.
- An app must be open to them. An item from an app the person may not open never shows on their list.
- Confidential documents are never named. An expiring confidential document shows as an item without its title.
- The daily brief follows the same scope (see set up your daily brief).
- Every action is audited. Approving, giving, snoozing, dismissing and closing are kept with the person's name.
