Let someone decide your approvals while away
Before a holiday or a trip, hand your approvals to a colleague for those days. Requests keep moving, and every decision records that it was made for you.
Before you start
- Anyone who approves can set up their own stand-in. A manager can also set one up for someone else.
Steps
- Open Workflows → Away.
- Under My delegation, in Decides instead, choose the colleague who will decide for you.
- Pick the first day in From and the last day in Until.
- Add a Note if useful, for example "Back on the 20th".
- Select Save. The page shows "… decides my approvals from … to …".
- To stop early, select End it.
Set it up for someone else (managers)
- On the same page, choose the absent person in Person (or leave Me).
- Choose who Decides instead, the dates and a note, then select Save.
- All delegations lists every stand-in in the organisation; select End it on a line to end it.

What the stand-in sees
- Your requests appear in their Waiting for me list marked for your name.
- On a request's page they read You are deciding for … (their delegation). They decide with your rights, and the history shows "Approved · their name (for your name)".
- I stand in for on their Away page lists whose approvals they hold and until when.
Good to know
- Your own requests still come back to you. A stand-in decides what waits for you; they cannot approve requests you asked for, and nobody can approve their own.
- Only between the two days. Before From and after Until, requests come to you again.
- The apps' own checks apply. A decision taken by a stand-in runs through the app's own rules, as if you made it.
- Related: approve or decline requests.
