Workflows
Workflows is where the work between people and apps is kept moving. Approvals gathers every request that waits for someone's decision, from every app, with deadlines, escalation and stand-ins while people are away. Workflow rules run recurring follow-ups by themselves, such as a quote follow-up or a hand-over of an overdue invoice to Collections, and create Tasks. Integrations shows the health of every connection, and the Audit log records who changed what. The bell and Notifications tell each person what happened.
Everyone who approves uses it; managers set the rules. The approvals inbox, workflow rules, tasks, notifications, the integrations page and the audit log come with every plan. Automations, which create Customer Support tickets or work orders from events in add-on apps, are part of the Workflows app in Sales & Customer Care and Kluvan One.
Discount, quote-total and purchase limits are set in Studio (see set approval limits); the requests they raise arrive here.
- Approve or decline requests in ApprovalsDecide every request that waits for you, from every app, in one list; follow the requests you asked for, comment, remind or withdraw.
- Let someone decide your approvals while awayChoose a colleague to decide your approvals between two days. They decide as you would, and the history shows who decided for whom.
- Set approval deadlines and escalationChoose how long each kind of approval may wait and who is told when it is late; for job reviews and write-offs, set the limit and approver.
- Switch on and tune a workflow ruleSwitch on a ready-made rule (quote follow-up, overdue hand-over, job review, renewal, welcome) and tune its days, conditions, actions and escalation.
- Read the workflow history and run a rule againSee every run of your workflow rules with the values they saw and what they did, and run a failed run again without doing anything twice.
- Work your workflow tasksSee the tasks workflow rules gave you or your team, open the record behind each one, and mark it done with a note.
- Check your integrations and send againSee the health of every connection, what failed or waits, send a failed document again safely, or mark one handled by hand.
- Read the audit log and a record's historySee every change in the organisation with who made it, filter by period, app and kind of actor, open one record's history, and export it.
- Use the bell and choose your notificationsRead what happened in the bell and on Notifications, handle what needs you, see your mentions, and choose what reaches you by e-mail.
- Create an automationSet up a rule that watches an event in an add-on app and creates a Customer Support ticket or a Services & Maintenance work order, with optional approval.
- Review automation runsRead the run history of your automations, approve or reject runs waiting for approval, and retry a failed run after fixing its cause.
