Read the audit log and a record's history

The audit log records every change: who made it (a person, a stand-in for someone, a workflow rule, an API key or the system), what they did, on which record, and which fields changed. Use it to answer "who changed this, and when?".

Before you start

  • Managers can read the audit log. Only the owner can export it and change how long it is kept.

Steps

  1. Open Workflows → Audit log.
  2. Pick the period in From and To.
  3. To narrow it, type an App or an Event, or choose Who: A person, A workflow, An API key, The system, An accounting firm or A suggestion accepted by a person. Select Show.
  4. Read each line: When, Who, What, Record and Changes (each field before → after).
  5. Select Older at the bottom to go further back.
  6. Select a record's name to open its history: every change to that record, with its approvals.
  7. To keep a copy, the owner selects Export CSV.
  8. To change how long the log is kept, the owner types the Days under How long it is kept and selects Save.

Good to know

  • Who is always named. A stand-in shows as acting for the person they replace, and a workflow rule as acting for its owner.
  • Sensitive values are hidden. The log says a sensitive field changed without showing its value.
  • Kept 7 years by default, never less than 13 months. Keep it as long as the longest legal period in your countries.
  • The export is logged too, and its cells are written so a spreadsheet does not run them as formulas.
  • The activity log. The Team pages keep their own activity log as well; see see who did what in the activity log.
