Build an inspection template
A template is the list of questions an inspector answers, each with the answer that passes. A failed answer fails the inspection and, by default, opens a non-conformance.
Before you start
- You need Manage templates, non-conformances and actions.
Steps
- Open Quality → Inspection templates and go to New template.
- Type the Name, for example "Incoming goods check".
- Pick what it Inspects: Any record, or one kind such as Goods receipt, Equipment or Field job.
- Pick the Severity of a failure: Minor, Major (the default) or Critical.
- Type the First question, for example "Packaging intact?", and select Create template.
- On the template's page, go to Add a question. Type the Question and pick the Answer type:
- Yes / no: set A yes / no passes on (No for questions such as "Damage found?");
- Reading (number): set the Unit, Lowest that passes and Highest that passes (either may be empty);
- Choice: type the Choices separated by
|, and the Choices that pass (empty: every choice passes); - Note: never fails;
- Photo: the inspector adds a picture.
- Tick An answer is needed and A photo is needed as required, and set A failure here is to raise the severity of this question.
- Select Add a question. Repeat, then reorder with the arrows.

Start from a published form
If your checklist already exists in Forms, go to Start from a published form on Quality → Inspection templates, pick the Form and what it Inspects, and select Build the template. Its questions are copied; then set what passes for each one.
Good to know
- Versions. Once an inspection uses a version, a change makes a new version; earlier inspections keep theirs. An unused version is changed in place. Older versions show as tabs and say they are kept for the inspections filled on them.
- From a form. A tick box becomes yes / no passing on yes, a number stays a number, a choice keeps its choices with every choice passing, and other fields become notes. The template shows From a form with the form's version. No form submission is made for an inspection.
- Severity. A failed inspection takes the highest severity among its failed questions, else the template's.
- Archive the template when you stop using it; Use the template again brings it back.
- Inspect with it on the template's page starts an inspection with this template.
- Next: Inspect on your phone.
