Follow supplier quality and share it

Every incoming inspection and every non-conformance with a supplier feeds its quality score. You see the score on Quality and on the supplier's record, and you can share chosen non-conformances and the score with the supplier through its portal.

Before you start

  • You need Manage templates, non-conformances and actions to see supplier quality.
  • Incoming inspections need Procurement. Sharing needs the supplier portal. See Inspect a delivery, equipment or a job.

Steps

  1. Open Quality → Supplier quality. Each supplier shows its Score and grade, Rejected (the reject rate), Quantity rejected, Inspections this month, Open non-conformances and the non-conformances In the window.
  2. Select a supplier to see its tiles and its non-conformances, with whether each is Shared with the supplier.
  3. Select Open the supplier to go to the supplier's record. Its Linked block shows the same score.
  4. To share a non-conformance, open it, open Change the non-conformance, tick Show it to the supplier in its portal and select Save.

How the score works

Over the last 365 days: the share of the quantity accepted at inspection on receipt, out of 100, less 1 point per minor, 5 per major and 10 per critical non-conformance, between 0 and 100. A supplier with nothing inspected starts at 100. Grades: A from 90, B from 75, C from 60, else D.

What the supplier sees

In the supplier portal, the Quality section shows:

  • Your quality score with its grade, and how it is worked out;
  • the non-conformances you shared: number, title, severity, state, date and disposition.

The supplier sees no inspection answers, internal notes, actions or owners, and cannot answer in the portal. The section shows only while Quality is switched on. See Portals.

Good to know

  • Share by default. Show new supplier non-conformances in the supplier portal in Quality settings shares new ones automatically; you can still untick one.
  • Cancelled non-conformances are never shown to the supplier.
  • Procurement's scorecard on the supplier's page measures deliveries on time, fill rate and price; this score measures quality at inspection. See Check supplier ageing and scorecards.
