Onboard a client with a checklist
A new client needs the same groundwork every time: company settings, accounts, tax, opening balances, users. The onboarding checklist lays out those steps, says who does each one and by when, and links each step to the screen where it is done.
Before you start
- Open the client from Clients on the partner portal (see work in a client's organisation).
- The client's owner and managers see the same checklist and can work on it too.
Steps
- In the client's Kluvan, open Accountant.
- Under Onboarding, choose the checklist that fits the business:
- Service business checklist: Company settings, Chart of accounts, Tax registration, Opening balances reconciled and signed off, Services and prices, Users and roles, Channels connected, E-invoicing provider;
- Trading business checklist: the same, with Opening stock counted instead of Services and prices.
- The page says The onboarding checklist is ready. Each step shows Who does it (your firm or the client), the Due date and its State.
- To work on a step, select Open its screen. Do the work there, come back and select Mark done.
- If a step was marked done too early, select Reopen.
- For anything outside the checklist, go to New task: type What needs doing, choose Who does it, pick a Due date if it matters, add a Note, and select Add.

Good to know
- Steps given to the client appear on its Today list, so the owner knows what you are waiting for.
- Late steps are marked Late and counted on your Clients page, which is sorted by the nearest due date.
- Need something from the client? Give the step to the client, or send a request when you need a document or an answer (see ask a client for documents).
- The checklist is started once per client and firm. A client has up to 500 tasks per firm; close the ones that are done.
- The firm's steps only open screens inside the access the client gave. If a screen is closed to you, ask the owner to widen the access.
