Assign a course to people, roles or teams

An assignment says who must take a course and by when. It keeps working on its own: a person who later joins the role, branch or team gets the course too, with the full time to take it.

Before you start

  • You need Make courses, assign them, record completions.
  • The course must be published. See Publish a course.

Steps

  1. Open Learning → Assignments and select Assign (or Assign on the course's page).
  2. Pick the Course.
  3. Pick Who: Person, Role, Branch, Team or Everyone.
  4. Fill in only the field of the kind you chose: pick the Person or the Branch, or type the Role or the Team (the list suggests the ones you have).
  5. Set the deadline: a Due date for everyone, or Due within (days).
  6. Leave Refresher every (months) empty to follow the course, or type a number for this assignment.
  7. Add a Note if useful and select Assign the course. The message Assigned. The people it reaches get a notice. appears.

Good to know

  • Who a role or team reaches. A role matches the person's staff profile role or their HR job title; a team is their HR department. People who left are never included.
  • New joiners. With Due within (days), the days count from the later of the assignment and the person's start date, so a new joiner gets the full window for their induction.
  • Two assignments of one course. A person reached by both gets the earlier due date and the shorter refresher.
  • People in the list is the number of people the assignment reaches today.
  • Ending an assignment. Select End on its row. Nobody is asked for it any more; completions stay. Ended assignments are under Ended.
  • Notices. People are told when a course is assigned to them, and reminded before the due date. See Set refreshers, reminders and expiry.
  • Without HR, a role matches the staff profile's role only, and there are no teams to pick.
  • Next: Take a course on your phone.
