Ask questions about your organisation

Ask answers short questions about your organisation from your own records: sales, stock, who owes you, what you owe, your team and your apps. Its own list of questions is read by fixed rules and the answer is computed; nothing is guessed. If it cannot read a question, it shows example questions instead of a number.

Before you start

  • Ask appears once the owner has switched on owner alerts. See owner alerts.
  • Each answer needs the same right as the page that shows the same figures, for example Reports for sales and Credit: who owes, record payments for who owes you.

Steps

  1. Open Owner workspace and, in its menu under Insights, open the Ask page.
  2. Type a question in plain words, for example "sales this week" or "who owes me?".
  3. Select Ask.
  4. Read the answer. Use the buttons under it to change the period (today, yesterday, this week, this month), break it down by branch, or compare.

What you can ask

  • Sales: "sales this month", "sales this month by branch", "compare this week with last week".
  • Stock: "what is running low?", "what expires soon?".
  • Money: "who owes me?", what you owe suppliers.
  • Your apps: "who should I call?" (CRM), "who is late today?", "how much is payroll this month?" (HR), and questions about projects, subscriptions, expenses, purchase orders and fixed assets when those apps are on.
  • Alerts: "any alerts today?" (the owner, or managers when allowed).

Ask reads English, Arabic (Egyptian, Gulf and standard), Arabic in Latin letters, Hindi, Urdu, Malayalam, Bengali, French, Spanish, Portuguese, Turkish and Indonesian, and answers in the language of the question.

Ask on Telegram

  1. The owner opens Settings → Owner alerts and, in the Telegram questions section, ticks the box that lets the linked owner and managers ask your organisation's bot questions, then selects Save.
  2. Each person opens the Ask page and selects Link my Telegram.
  3. They send the 6-digit code to your organisation's bot within 10 minutes.

From then on they can write the same questions to the bot. The owner sees the linked accounts under Linked Telegram accounts and can Unlink one.

Ask, Ask AI and the attention list

  • Ask's own list of questions uses fixed rules, not AI.
  • Ask AI (early access): when your plan includes it, a question outside that list goes to your AI, which reads your own reports with your rights and says what it used. See Ask AI.
  • The box in the Owner workspace ("Ask about your list") is a different tool: it only filters the items of your attention list, by fixed rules. See ask questions about your attention list.

Good to know

  • Sales means the invoices you issued and the online orders you delivered.
  • Rights and branches apply. A person limited to some branches gets answers for those branches only. Telegram answers with the linked person's own rights.
  • Answers show customers' names and balances as the pages do, never phone numbers.
  • Limits: after a quick burst of questions, about 30 a minute and 300 an hour in Kluvan, 20 a minute and 120 an hour on Telegram. Past that, you are told how many seconds to wait.
