Connect your accounting program
This feature is in early access: it is built and tested, but not yet switched on for every organisation or not yet tried with the outside provider. Ask us on WhatsApp if you would like to try it.
The Connections page links Kluvan to an outside accounting program, so your accountant gets your documents there without typing them again. The accounting connectors (Zoho Books, Xero, QuickBooks Online and Daftra) and the marketplace connectors are in early access: a connector appears on the page only once Kluvan has switched it on.
Before you start
- You need to be the owner or a manager.
- Connections must be in your plan. If they are not, the page shows a locked card.
- If the page says No connection is available yet, no connector is switched on for your organisation yet.
Steps
- Open Settings → Connections.
- On the program's card, press Connect.
- Sign in at the program's own page and allow the access it asks for. For Daftra, enter the subdomain and the API key Daftra gave you instead.
- The program sends you back to Kluvan. If your sign-in opens several organisations, choose the one for this organisation and press Save.
- Open Accounts. For each figure, choose the account in your accounting program, or press Accept the suggestions (suggested accounts are marked). Press Save.
- Under What to send, tick Bills and expenses from Books and set Send from this day. Press Save.
- Press Sync now, or wait: Kluvan sends by itself.
- Open What we send to see the documents as they go, with the accounts they hit.
What is sent
- Your issued bills from Books, with their supplier (made as a vendor contact the first time) and the Books accounts and tax codes you mapped.
- Your expenses from Books, paid through their account.
- Kluvan reads the program's list of accounts and tax rates once a day, and when you press Sync now, to offer them in Accounts.
Nothing in Kluvan is changed by a connection: it only reads your documents.
When something is not sent
- A document whose accounts are not all chosen waits; the card says how many accounts are still to choose.
- A failed send is tried again after 1 minute, 5 minutes, 30 minutes, 2 hours and 6 hours. After that, or when the program refuses it, it goes to Documents not sent with the program's own reason. Fix the reason, then press Send again or Send them all again.
- A send that got no answer is first looked up in the program by its reference, so a document is never sent twice.
- If the program stops accepting the sign-in, the card asks you to connect again; nothing is sent meanwhile.
- Activity lists every sync, and Check the connection tests the sign-in.
Good to know
- Early access: these connectors have been tested against the programs' published rules, not yet with live customer accounts. Check the first documents in your accounting program.
- QuickBooks Online: the company's home currency must be your organisation's currency, or the connection is refused.
- There is a daily limit on documents sent; the rest goes the next day.
- Disconnect stops sending. Connecting the same organisation again keeps your accounts and sends nothing twice.
- Marketplaces (Amazon, noon, Talabat, the Meta catalogue) are also early access and appear here only when switched on for your organisation.
- E-invoicing for your country is described on the Egypt and UAE pages.
- Settings → Integrations holds your Telegram bot and the choice to share your product names, barcodes and categories (never prices) in the shared catalogue.
- For your own software, use the developer API.
