Decide requests in the approvals inbox
HR → Approvals gathers everything waiting for a decision: time off requests, shift swap requests, the requests people send from their own page, and punches held from a device you do not trust yet.
Before you start
- You need Manage HR (files, documents, leave), or a delegation from someone who has it.
- Deciding an advance or an expense claim also needs Salaries and payroll.
Decide requests
- Open HR → Approvals. Each row shows who, what and when. Rows marked Waiting too long come first.
- To decide one row, select Open to read it, add a Note if you like, then Approve or Reject.
- To decide several at once, tick Select on the rows and choose Approve the ticked or Refuse the ticked.

Hand over the inbox while you are away
- Open HR → HR settings → Self-service and the team → Delegation.
- In Away, pick the manager who is away. In Answers for them, pick the colleague who covers.
- Set Until to the last day of the cover.
- Select Save.
Good to know
- Only requests where no money moves can be decided together: time off, letters, corrections and missed punches. Advances and expense claims are decided one by one.
- What a decision does: approved time off goes on the calendar and timesheet, a swap changes the roster, a held punch goes on the timesheet or is dropped, a missed punch is added at the time asked, an advance is recorded for payroll to take back, and an approved expense claim is, by default, added to the person's next pay.
- A letter request or a correction only changes the request's status; you write the letter or change the file yourself. Writing the letter closes the request. See Write letters and certificates.
- A request waiting longer than Days before a request escalates (3 by default, in Self-service and the team) is marked and the owner is alerted. 0 means never.
- You can set up to three delegations. While one runs, the colleague sees the inbox and decides as the manager; the activity log names both. On the day after Until, the access ends by itself.
- Every decision is written to the activity log.
- The person sees the answer on their own page. See Use your own HR page.
