Plan shifts and publish the weekly roster

Shift templates describe your usual shifts. The weekly roster places them on people, one week and one branch at a time. When the week is ready you publish it and the team is told.

Before you start

  • You need See HR files to read the roster and Manage HR (files, documents, leave) to change it.

Make the shift templates

  1. Open HR → Roster. If there are no shifts yet, select Add shift in the banner. You can also go to HR → HR settings → Scheduling and clock-in → Shift templates.
  2. Type the Shift name, when it Starts and Ends, the Break (minutes) and tick The break is paid if it is.
  3. Pick a Colour and, if you like, a Role (optional).
  4. Select Add shift. Repeat for each shift.

Fill in the roster

  1. Open HR → Roster and pick the Branch. Use the arrows to move between weeks.
  2. Select a cell (a person on a day), pick a shift or type your own times, and select Place.
  3. To offer a shift nobody has yet, use the Open shift (nobody yet) row.
  4. To save time, use Copy last week, or a Rotating pattern for one person: type days on and off such as 6-1 or 2-2-3, set Pattern starts on and select Lay pattern.
  5. Read Things to look at: the warnings for the week.
  6. When the week is ready, select Publish and notify.

Good to know

  • An end time before the start crosses midnight: 22:00 to 06:00 is an eight-hour shift. A night shift belongs to the day it starts.
  • The roster warns, it never blocks: the same person twice at once, less than 11 hours' rest between shifts, more than 48 hours in the week, approved time off, a public holiday, or a time the person marked as Not available on their file. The rest and weekly figures are your own settings on the attendance rules page.
  • It also warns when someone under 18 (by the date of birth on file) is placed on a night shift or one longer than six hours. This follows the published UAE rule; whether it matches Egyptian law is not confirmed.
  • Publishing e-mails each person on the week who has an e-mail on file, and messages them on Telegram where linked. Everyone sees their shifts on their own HR page. Changes after publishing are shown to the staff too.
  • People ask from My shifts on their own page to swap a shift with a named colleague, give a shift up or take an open shift. Requests show under Shift requests on the roster and in the approvals inbox. Nothing changes until a manager selects Approve.
  • A person sees only their own shifts, never their colleagues'.
  • The week starts on Saturday in Egypt and on Monday in the UAE. You can change it on the attendance rules page.
  • A shift template cannot be deleted, only retired with Retire, because past rosters still use it.
  • The roster's shift sets each day's expected hours on the timesheet. See Set work rules and approve timesheets.
