Connect an attendance device or upload its file
A fingerprint or face terminal can send its punches to Kluvan as they happen, or you can export its log and upload the file. Either way the punches land on the timesheet with the same rules as phone punches.
Before you start
- HR is switched on. The owner switches devices on; you need Manage HR (files, documents, leave) to add devices and map people.
- Each person's code on the device is their user ID, the number typed when they were enrolled.
Connect a device
- Open Settings → Attendance devices, tick Receive punches from attendance devices and select Save.
- Under Add a device, type a Name, pick the Brand, type the Model and pick the Branch.
- In How punches reach us, choose live push over the internet for ZKTeco or Hikvision, or file from a USB stick.
- Select Add a device. Its card shows The address to type into the device and the setup steps for that model.
- Type the address into the device's menu (ZKTeco: Cloud Server / ADMS; Hikvision: HTTP listening).
- When the device first calls, its card asks you to confirm the serial number. Select Approve this device. Nothing is stored before that.
- Open HR → Attendance devices → Mapping. Under Codes that belong to nobody yet, pick the person in This is and select Map.

Upload a file
- Export the attendance log from the device to a USB stick, or from its software.
- Open HR → Attendance devices → Files, choose the device and the File, and select Upload and check.
- Read What the file holds: rows, punches, punches of known people and of unknown codes. Fix The columns if needed and select Read again with these columns.
- Select Put … punches on the timesheet.
Good to know
- Tested with simulators only. No real ZKTeco or Hikvision unit has been tried yet. Try one unit of your model before relying on it.
- Fingerprints and face templates never leave the device. Kluvan keeps the person's code, the time, the device and how they were recognised.
- Attendance photos are off by default. Switched on, they are encrypted, shown only to HR right holders and deleted after the days you set.
- A punch whose code belongs to nobody waits in the holding area until you map it. Nothing is guessed.
- Untick Put punches on the timesheet at once to make every punch wait under HR → Attendance devices → Waiting for approval.
- Use Count punches from so months of old punches in the device's memory never reach the timesheet.
- Sending the same punches twice, or uploading the same file twice, adds nothing. Undo this file takes off every punch a file added.
- Besides the ZKTeco USB log, the file reader knows several vendor exports and our own Empty template (CSV). Layouts marked Unconfirmed layout need a check in the preview.
- Other systems can send punches to a signed webhook address shown on the device's card.
- Your devices shows how many devices your plan allows.
- With owner alerts on, you are told when a device stays silent during opening hours.
